Richmond Express

Richmond Express (RE), as a newly acquired courier service, was facing challenges with its Microsoft 365 services. The company was paying Microsoft in Canadian dollars, incurring additional costs due to exchange rates for its email and office services. Additionally, RE needed to retire a legacy on-premises server that managed all its user accounts on-site. ScribNet was engaged as a managed IT service provider to migrate the Microsoft 365 tenant from Canada to the United States and decommission the outdated server, streamlining their operations and reducing costs.

Project Challenges

Microsoft 365 Tenant Migration
With any migration process, there is a risk of data loss during the migration of emails, files, and user accounts between tenants, and particular care was taken to ensure user accounts were migrated without losing permissions, settings, or access rights. Migrating a Microsoft 365 tenant across regions is a complex process that is not directly supported by Microsoft tools, creating an additional level of complexity. The ScribNet team also considered license compatibility when subscriptions were transferred to remain compliant with U.S. regulations.

Financial Implications
RE was incurring unnecessary expenses due to currency conversion rates and needed to change billing arrangements from Canadian to U.S. entities without interrupting service.

Legacy On-Premises Server Retirement
Before transitioning from on-premises Active Directory to cloud-based Azure Active Directory, applications or services dependent on the on-premises server needed to be identified to avoid any exposure to security vulnerabilities once the server was decommissioned.

Data Residency Laws
Understanding data residency regulations between Canada and the U.S. can be challenging, especially in ensuring compliance with any industry-specific regulations during migration, which is why RE needed a trusted IT consulting firm with a history of success to help navigate this transition.

ScribNet’s Approach

1. Strategic Planning and Assessment

This project began with a comprehensive audit and in-depth analysis of the existing Microsoft 365 environment, including all user accounts, mailboxes, SharePoint sites, and OneDrive data. This allowed ScribNet to create a detailed migration plan outlining each step, timeline, and fallback procedures.

2. Licensing and Billing Transition

To achieve cost savings for the organization, the ScribNet team reviewed all current licenses and determined equivalent U.S. licenses to ensure feature consistency. New billing arrangements were established with Microsoft in U.S. dollars to eliminate the exchange rate issues.

3. Data Migration Tools

Utilizing specialized third-party tools designed for tenant-to-tenant migrations, the team was able to facilitate the transfer of data and migrate users in a phased approach to minimize disruption. The DNS records were also updated to redirect email flow to the new tenant without any downtime for the end users.

4. Decommissioning the On-Premises Server

Once all of the data had been migrated successfully, Active Directory was synchronized with Azure Active Directory, and a full backup was performed on the legacy server to prevent any potential data loss. It was then time to safely shut down and decommission the on-premises server following industry best practices.

5. IT Security and Compliance Assurance

Multi-factor authentication and Conditional Access policies were implemented as part of the IT security considerations, and a final compliance review was performed to verify that migration had been completed according to data protection laws and industry regulations.

6. User Support and Training

Thanks to proactive communication between RE and ScribNet, employees were kept informed about the migration schedule, expected changes, and any required actions. The RE team was also provided with materials and training sessions to help users adapt to any new procedures and comprehensive documentation of the new environments.

Project Timeline

Results Snapshot

  • Achieved 100% data migration without loss
  • Saved an estimated 10% on Microsoft 365 costs by billing in U.S. dollars
  • 100% adoption of Multi-Factor Authentication across user accounts
  • 0 security incidents reported post-migration
  • 50% decrease in IT support tickets related to email and account access

Results

A successful Microsoft 365 tenant migration had far-reaching impacts on the RE team. By decommissioning the legacy server, ScribNet reduced expenses related to maintaining and operating it while providing the RE team with a solution that better meets their requirements. They also eliminated unnecessary costs associated with currency exchange rates while remaining compliant with U.S. data protection regulations. Moving entirely to cloud-based servers simplified the IT infrastructure and centralized user management, saving time and simplifying administrative tasks. The RE team reported little to no interruption in services, and users reported better performance and accessibility with the new IT solutions.
